Business Automations · Checklist

One workflow.
From trigger to handoff.

A practical audit before you buy another integration. Bring the real steps, tools and exception cases.

Write down the job, not just the app list

  1. Trigger: what verified event starts the flow — an inquiry, booking status or provider-confirmed payment?
  2. Data: which fields are necessary, where they live and who is allowed to access them?
  3. Owner: who replies, approves a proposal, confirms the booking or resolves an exception?
  4. Action: acknowledgement, team notice, CRM update, onboarding task, invoice or reminder?
  5. Controls: how will duplicate events, timezones, reschedules, missing data and failed deliveries be handled?
  6. Approval: which test recipients and sample records will be used, and who authorises customer-facing release?
  7. Handoff: who monitors errors, pauses the workflow and approves a change?

Keep billing facts separate from guesses

Agree setup, recurring periods, invoice dates, minimum term and tax treatment in writing. A payment message should be tied to provider-confirmed status, not an unverified browser redirect. Due reminders are not permission to change terms or charge a customer again.

A service message is not automatically marketing

Confirmations and account messages have a different purpose from promotion. Under the US CAN-SPAM primary-purpose rules, subject lines, content and placement matter when transactional and commercial content are mixed. Review applicable messaging and consent requirements for your audience; this checklist is not legal advice.

Good first scopes

  • Inquiry receipt → named human owner → logged reply task.
  • Confirmed booking → tested reminder → reschedule/cancellation handling.
  • Approved proposal → onboarding checklist → owner review.
  • Verified payment → branded invoice/receipt → agreed future due dates.

Available integrations depend on supported APIs/connectors, access and account plans. Third-party fees, ongoing care and custom combinations need an agreed quote. Nothing on this page implies every MendRev internal email or webhook is already customer-enabled.

Do not use general inquiry forms to send sensitive medical or legal records, card numbers or credentials. Review such workflows separately.

Request a scoped workflow review

Put the guide to work.

Use the Business Auditor to organize reported gaps and unknowns. Then review an editable scope brief for a tailored quote after access and feasibility checks. A manual step or no paid change may be the right fit; no custom amount is invented.
