A straight comparison for HVAC owners
AI receptionist or answering service: which fits your HVAC shop?
Both pick up the calls your team can't get to. One puts a person on the line. The other puts an AI on it. I'm building an AI receptionist, so read this with that in mind. I've tried to be fair about where each one fits.
What each one is
A live answering service
People in a call center answer your calls with a script you agree on. Some also book appointments or call your on-call tech. Ask what's included and what costs extra.
An AI receptionist
Software that answers the phone and talks with the caller. What it can do depends on the product and how it's set up. Ask to hear it handle a call like yours.
MendRev
An AI receptionist for residential HVAC shops in Dallas–Fort Worth, built on xAI's Grok Voice Agent. It picks up the after-hours and overflow calls you forward and takes the caller's details for your team. It doesn't book jobs or dispatch techs.
Where a live answering service can fit better
Your callers expect a person
If your customers want a human on the line, a live service gives them one. An AI won't change that.
Calls need judgment
An upset customer, a warranty dispute, a question nobody wrote into the script. A person can work with what isn't written down.
You want jobs booked or the on-call tech reached
MendRev doesn't do either. Some live services offer it. Ask what it costs per call or per month.
You need another language
MendRev doesn't offer other languages today. If you need one, ask any provider that does to show you, not just tell you.
Where an AI receptionist can fit better
You mainly need the details taken
A homeowner calls at night. You want their name, number, address and what's wrong, so your team can call back. That's the job MendRev is built for.
You want a set monthly price
MendRev publishes its plans, with minutes included, so you can see the price before you talk to anyone. Some live services publish theirs too, so compare them on the same month of calls. See pricing.
You want the script built around HVAC calls
We write your call script and knowledge base (service area, hours, fees, what counts as urgent) and run test calls with you before anything goes live.
You'd rather hear it than take my word
Ask me for a 2-minute demo call and tell me straight whether it would work for your customers.
What neither one replaces
Your team still calls back, confirms the slot, decides who goes out and does the work. A good answering setup, human or AI, takes the caller's details so your team can call back.
Questions to ask any provider
- Who answers: a person or an AI?
- What do you take down on each call?
- How do the call details reach me?
- What do you tell a caller who smells gas or has a CO alarm going off?
- Which calls do I send you: all of them, after hours only, or when the line is busy?
- How do you bill: per minute, per call or a monthly plan? What counts as a billable minute or call?
- What does my busiest month cost? What does going over cost?
- Is there a setup fee? A contract or minimum term?
- How long until I'm live, and do we run test calls first?
- Can I hear a call handled the way mine would be?
MendRev's answers are on the HVAC answering service for Dallas–Fort Worth page and in pricing.
How each one charges
Billing models vary, so compare on the same month of calls. A few examples from providers' own pages:
- By the minute: PATLive's pricing page lists its plans by minutes and says you pay only for the time receptionists are live on your calls.
- By the call: Smith.ai's pricing page lists its receptionist plans by number of calls a month.
- By quote: Ambs Call Center's HVAC page says its pricing is based on call volume and asks you to request a quote.
As listed on their sites, October 2026; check current terms with them. Company names are their owners' trademarks, used here only to describe published billing. MendRev isn't affiliated with any of them.
MendRev uses monthly plans with minutes included. More on what drives the cost of an HVAC answering service.
Questions owners ask
Is an AI receptionist cheaper than an answering service?
It depends on how many calls you send, how long they run and how each provider bills. Price both on your busiest month, not your quietest. MendRev's plans start at $297/month plus a $497 one-time setup fee. The breakdown is on what an HVAC answering service costs.
Will my callers know it's AI?
MendRev is an AI receptionist, and I won't pretend it's a person. Listen to a demo call and decide whether it's right for your customers.
Does MendRev book jobs or dispatch techs?
No. It takes the caller's service request and preferred time, and your team confirms it. It doesn't dispatch techs. Your team decides what happens next.
Do I have to change my phone number?
No. You forward the calls you can't take (after hours, or when the line is busy) to your MendRev number. Your customers keep calling the number they already know.
Can I try MendRev first?
Start with the 30-day pilot: $297 for the first 30 days of MendRev Pro, with up to 500 connected minutes, setup included. Unless you cancel before day 30, it continues as Pro at $497/month with 700 minutes/month included ($0.65/min after); the $497 setup fee is waived. Minutes above 500 during the pilot are $0.65 each, invoiced at the end of the pilot.
Hear it before you decide
Ask me for a 2-minute demo call, or book a 15-minute call. If it's not a fit, tell me and I'll leave you alone.
